1. INTRODUCTION

Here at Synergy-UK, we recognise that your privacy is very important to you, and we are committed to protecting your privacy. In general, you can access the majority of our Services without giving us any information about yourself. However, on occasion we may need information to the provide some services that you request. We will not share any of your personal information to other companies or individuals without your prior permission in writing.

In some instances, the sharing of information is required for the offboarding of IT Support to another external company. Requests for this information must be submitted in a written form (Email or Letter) by the third-party then authorised by the Managing Director of the business in question.

We shall do the same process if requesting information from another third-party for the onboarding of IT Support from another external company to Synergy-UK.

Furthermore, we are aware that when you provide us with information about yourself, you trust us to act in a responsible manner. We believe this information should solely be used to help us provide you with better service. We have scripted this policy to protect your personal information.

2. YOUR PERSONAL INFORMATION

We collect & use your personal information for the following primary purposes:

• To provide a better service by logging user account details
• To produce documentation that relates to the client, like Contracts, Job sheets, Invoices and other internal documentation
• To contact clients that submit information via our website Enquiry Form

The type of data that we collect can be found below. This list may not reflect all
information, but is a general rundown of what we collect and store:

• Company details, including:
  • Company Address
  • Company Registration Number
  • Business Directors

• Personal details of employees, including:
  • Phone number
  • Email Address
  • Forename & Surname
    • The above is for support purposes only to confirm an employee within a
      business

• Business-related Accounts and Passwords, including:
  • Work Email Addresses & passwords
  • Work Computer Usernames & passwords
  • Third-party service logins
  • Administrator logins for software or hardware (Routers & Servers, as an
    example)

• Business Data
  • If a customer takes our Offsite Backup service with Synergy-UK, data stored on
    the customers file server will be backed up to the Synergy-UK data servers.
  • Data that is backed up is completely separate from the operations of Synergy-
    UK directly and is only accessed for file recovery and for Offsite Backup
    management.

• Any other information that the client wishes to share for us to store with written confirmation

Synergy-UK offer storage solutions via the Cloud (OneDrive, for example). It is important to know that the data link is between the customer and the third-party Cloud Storage Provider, with Synergy-UK acting as a Partner within the link. The storage of data and its management is solely down to the third-party Cloud Storage Provider, as this data is not held within Synergy-UK’s control or protected by Synergy-UK.

Synergy-UK may collect, store or use data for other purposes than the ones listed above, but no data will be shared to any other entities without prior written permission.

3. STORAGE OF INFORMATION

Synergy-UK strictly protects the security of your personal information and honours your choices for its intended use. We carefully protect your data from loss, misuse, unauthorized access or disclosure, alteration, or destruction.

The data that we collect is securely stored using a third-party Password Management provider. All accounts that access this information have Two-Factor Authentication applied to prevent unauthorized access. We also store some generic data on our internal file systems, but this data solely relates to a business rather than a specific person. This data requires password authentication to access it and can only be accessed whilst on-site at our office.

In relation to Cloud Storage Solutions, the storage and data responsibility is solely down to the third-party provider. No data is stored locally within Synergy-UK when the cloud storage solutions are provided, with full responsibility for data being held with the provider.

Your personal information is never shared outside the company without your permission, except under conditions explained in Part 4 – Legal Responsibilities. Your information may be stored and processed in the United Kingdom or any other country where Synergy-UK, its subsidiaries, affiliates or agents reside.

4. LEGAL RESPONSIBILITIES

Synergy-UK may disclose your personal data, without any prior notice, if summoned to do so by Law Enforcement Agencies or any appropriate agency as necessary to:

1. Conform to the ethics of the law or comply with legal process served on Synergy-UK or the site
2. Protect and defend the rights or property of Synergy-UK
3. Act in urgent circumstances to protect the personal safety of users of Synergy-UK, its website, or the public

5. WEBSITE USAGE

To ensure that we are publishing content customers need and want, Synergy-UK collects aggregated site visitation statistics using cookies. We do not track individuals’ use of the site. The Synergy-UK website use cookies for various reasons. Cookies enable us to provide you with a better experience by allowing us to understand what areas of the website are of interest to our visitors.

The cookie contains information that you chose to provide when first viewing our website. You are in charge of deciding what information sites know about you. Synergy-UK also use cookies in our Web-based applications. In this situation, a cookie will store useful information that enables our website to remember you when you return to visit us. Cookies from the Synergy-UK website are encrypted and can only be read by our website.

If you choose to not have your browser accept cookies from our website, you will be able to view the text on the screens, however you will not experience a personalized visit nor will you be able to subscribe to the service offerings on the site.

We do not share tracking information outside Synergy-UK, and do not allow other companies to place advertisements of any sort on our website.
